Executive Assistant & Facilities Coordinator
A leading company in the food and beverage industry is looking for an Executive Assistant & Facilities Coordinator to join our team in Martínez, Buenos Aires, reporting directly to the General Manager.
We are seeking a proactive, highly organized, and solution-oriented professional with strong execution skills, sound judgment, and the ability to handle confidential matters with discretion. This role requires someone who can work independently while thriving in a fast-paced and dynamic environment.
Key Responsibilities
Facilities & Workplace Experience
- Ensure the smooth day-to-day operation of the office, overseeing facilities services, maintenance, security, and workplace infrastructure.
- Manage vendors, contracts, purchasing processes, and the facilities budget.
- Coordinate office access, workspace allocation, parking, and visitor services.
- Lead initiatives that enhance employee wellbeing, safety, and workplace experience.
- Oversee the company fleet, including documentation, insurance, maintenance, and related administrative processes.
Executive Assistant & Leadership Support
- Manage the General Manager’s calendar, meetings, and strategic priorities.
- Coordinate domestic and international travel arrangements, ensuring a seamless travel experience.
- Organize leadership meetings, Management Team sessions, and corporate events.
- Prepare presentations, reports, and supporting materials for executive decision-making.
- Handle executive communications and confidential documentation.
- Serve as a key point of contact for visitors, vendors, and internal and external stakeholders.
Administrative & Corporate Coordination
- Support corporate administrative processes, legal documentation tracking, and signature workflows.
- Coordinate activities with banks, notaries, government agencies, and external service providers.
- Maintain accurate and organized physical and digital company records.
What You'll Have the Opportunity To Do
- Be the go-to person for office operations and workplace experience.
- Provide direct support to the General Manager and Leadership Team.
- Coordinate executive travel, strategic meetings, and key company events.
- Manage vendors, facilities services, budgets, and company fleet operations.
- Drive administrative processes that support the efficient functioning of the organization.
- Build strong relationships with internal and external stakeholders while delivering a professional and positive experience.
Qualifications
- Minimum of 3 years of experience in Executive Assistant, Office Management, Facilities, or similar roles.
- Advanced English proficiency (mandatory).
- Strong knowledge of Microsoft Office applications and AI productivity tools.
- Excellent organizational and prioritization skills, with the ability to manage multiple tasks simultaneously.
- High level of autonomy, professionalism, and confidentiality.
Location: Martínez, Buenos Aires, Argentina
Working Hours: Monday to Friday, 8:00 AM to 5:00 PM (with flexible working hours).
Work Model: Hybrid, based on business needs.
